Who we are (data controller). EmployerCalculator.co.uk is operated by the trader whose legal/registered name, postal address and contact email are set out on our Contact page. That trader is the data controller for personal data processed through this site. Contact us about any privacy matter using the details there.
What we collect. (1) Technical/usage data — IP address, browser and request metadata in server logs, and privacy-respecting analytics. (2) Calculator inputs you type — used only to produce your on-screen estimate. (3) Contact form submissions. (4) Cost-Saving Audit questionnaire answers (e.g. salary, hours, age, start date, business circumstances and reliefs you indicate) — used to generate your report. (5) Purchase and fulfilment records — your email, the product bought, amount paid, a secure report reference and (for the add-on) a download record.
Purposes and lawful bases. We process calculator/questionnaire inputs to provide the service you request and, for a paid audit, to perform our contract with you (UK GDPR Art. 6(1)(b)). Logs, security and basic analytics rely on our legitimate interests in running and protecting the site (Art. 6(1)(f)). We keep records of purchases to meet legal and accounting obligations (Art. 6(1)(c)). Any marketing email would rely on your consent (Art. 6(1)(a)).
Who we share it with (processors). Payments are handled by Stripe (we never see or store full card details). Order, report and download records are stored in Google Firestore. Any confirmation email is sent via Resend. Analytics may be provided by Google. These providers act as our processors under contract and only process data on our instructions.
International transfers. Some providers (e.g. Stripe, Google, Resend) may process data outside the UK/EEA. Where they do, transfers are protected by appropriate safeguards such as the UK International Data Transfer Agreement / Addendum or adequacy regulations.
Retention. Server logs are kept for a short period for security. Audit order and report records are retained while your report link remains available and for as long as needed to meet accounting/legal requirements (generally up to 6 years for transaction records), then deleted or anonymised. Add-on download links expire after 7 days.
Your rights. You have the right to access, rectify, erase, restrict or object to processing, and to data portability, subject to legal limits. To exercise any right, contact us using the Contact page. You can also withdraw consent where processing relies on it.
Complaints. If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to resolve it first.
Changes. We may update this policy; the current version always appears on this page.
